What we collect

Information you give us

When you complete the enquiry form, we collect your name, work email address, company, company website, country, job title, your description of how your company works with coffee, what interests you about the experience, your preferred contact channel, and optionally your phone number and LinkedIn profile.

Information collected automatically

We record which page you submitted the form from and the campaign parameters in the link that brought you to us, so we know which of our efforts are working. Our website uses cookies and similar technologies, described below.

Information from your replies

If you reply to our emails or book a call, we keep a record of the exchange and of the meeting, so that whoever speaks with you knows the history.

Why we use it, and on what legal basis

If you are in the United Kingdom or the European Economic Area, the UK GDPR and the EU GDPR require us to have a legal basis for each use.

What we doLegal basis
Reply to your enquiry and arrange a call Steps taken at your request before entering a contract
Send you follow-up emails about the journey Your consent, given when you submitted the form
Assess how relevant the journey is to your work Our legitimate interest in contacting professionals for whom the experience is a genuine fit
Keep records of contact and consent Our legal obligations and legitimate interest in demonstrating compliance
Measure which campaigns bring enquiries Your consent, given through our cookie banner

If you are in Brazil, the equivalent bases under the LGPD are your consent, the pre-contractual steps you requested, and our legitimate interest.

Automated assessment of enquiries

We use an automated system, including a language model, to read what you wrote about your company and to help us judge how closely the journey matches your work. It produces an internal priority rating.

This rating only affects how quickly a person gets back to you and what we ask about first. It never rejects an enquiry, and every enquiry is read by a person. If you would like to know how your enquiry was assessed, or you disagree with it, write to us and a person will review it.

Who we share it with

We do not sell your personal data and we do not share it for anyone else's marketing. We use a small number of providers that process data on our behalf:

We may also disclose information where the law requires it.

Where your data goes

We are based in Brazil and our providers operate in Brazil, the United States and the European Union. When personal data of people in the UK or the EEA is transferred outside those regions, the transfer is covered by the European Commission's Standard Contractual Clauses, or the UK International Data Transfer Addendum, agreed with each provider.

You can ask us for a copy of the safeguards that apply.

How long we keep it

Your rights

You can ask us to:

Withdrawing consent does not affect anything we did before you withdrew it. Write to privacy@brazilcoffeeexperience.com and we will respond within one month.

If you are unhappy with how we handled your request, you can complain to your national data protection authority — in the UK, the Information Commissioner's Office; in the EEA, the authority in the country where you live. In Brazil, the Autoridade Nacional de Proteção de Dados.

Cookies

Cookies that make the site work are always on. Cookies that measure our advertising only load after you accept them in the banner, and you can change your choice at any time from the banner link in the footer of our website.

Security

Access to enquiry records is limited to the people who need it. Data is encrypted in transit and at rest by our providers. No system is perfect, and if a breach ever affects your rights we will tell you and the relevant authority as the law requires.

Children

The Brazil Coffee Experience is a professional programme for adults. We do not knowingly collect data from anyone under 18.

Changes

If we change this policy we will update the date at the top of the page. Where a change materially affects you, we will tell you by email.
